This service is scoped around one consultant’s private practice, with clear priorities and lines of responsibility. It is not offered as a shared clinic-wide management package. Your workload and operational needs determine the scope, rather than headcount alone.

Agree responsibilities before handover

Start with your current systems, outstanding work and the people involved. Agree authority, reporting, access and cover arrangements before handover. Our onboarding process provides a starting point for that discussion.

Before support begins

Clear authority. Clear boundaries.

Agree which tasks the manager owns, which decisions need approval and how patient information is accessed. Discuss confidentiality and system permissions, working hours, absence cover and reporting before support starts.

  • No shared clinic rate: this service is for individual consultants.
  • No transfer of clinical decision-making: patient care decisions remain with the clinician.
  • No assumption of unlimited authority: spending, approvals and escalation are agreed with you.

Outstanding work stays visible

A delayed invoice, unanswered insurer query or supplier issue should have an owner and a next step. Coordinating those items helps you see what needs attention without personally chasing every update.

A clearer view of billing

Track payments, reconcile remittances and follow up outstanding invoices and shortfalls within the agreed scope. This supports visibility of what is owed; it does not guarantee payment or the outcome of an insurer appeal.

Useful reporting for decisions

Agree the figures, source systems and review schedule that help you understand the practice. Reporting should show outstanding work, financial administration and operational issues that need a decision.

PA or practice manager?

Choose by responsibility, not practice size

If the main need is calls, diary management and correspondence, medical PA support may be the right starting point. If you need someone to coordinate priorities, people and processes, discuss practice management. An existing secretary can remain part of that arrangement, with responsibilities clearly divided.
